Help and getting started with DCare.app
A practical setup order for a new setting, followed by answers to the questions owners and parents ask most often.
Before you start
Have three things ready: a list of enrolled children with dates of birth and fees, the email address of at least one parent per family, and your billing rules (billing day, sibling discount, late pickup fee). Decide whether you are using the Europe region (EUR, day-first dates, 24-hour clock) or the United States region (USD, month-first dates, 12-hour clock). The region sets the currency for the account.
Implementation checklist
- 1Create your account. Sign up, then name your setting and choose region, time zone and plan on the onboarding screen.
- 2Review Settings. Set closing time, late pickup fee and monthly billing day. These can be changed later.
- 3Add families. On the Families page, add each family with parent names and emails. Add a sibling discount if one applies.
- 4Add children. Add each child to their family with date of birth, fee and weekly or monthly frequency.
- 5Invite staff. In Settings, invite staff by email. They can take attendance and message parents but cannot see billing.
- 6Tell parents. Ask parents to sign in with the email you entered, then set their kiosk PIN in the portal.
- 7Launch the kiosk. Open kiosk mode from the Attendance page on the tablet that will stay by the door.
- 8Generate invoices. On the Billing page, generate invoices for the current period and open a few to check them.
Billing
Invoices are drafted per family when you press Generate invoices. Weekly children are billed for the week starting Monday; monthly children on your billing day. One-off charges are added from the Billing page with their own description and due date. Each invoice can be opened as a printable page and saved as a PDF from the browser.
Online payment through Stripe is not live yet. When a family pays you directly, open the invoice on the Billing page and choose Record offline payment. Select the method and date received, confirm the money has arrived, and the invoice is marked paid. This records the payment only; it does not charge anyone.
Attendance and kiosk
Parents choose their own four-digit PIN in the portal, or show a QR code generated there. Staff can check children in and out from the Attendance page at any time, for example when a grandparent collects. The daily report can be exported as CSV.
Exports and your data
Owners can download a complete JSON export from Settings. Parents can download their own family data from the portal. Invoices, payments and attendance are available as CSV files. Store exports securely, because they contain personal data.
Frequently asked questions
A parent cannot sign in. What should I check?
Confirm the email on their family record exactly matches the verified email they use to sign in. Parents only see a family whose records include their email.
A parent forgot their PIN.
They can set a new one in the portal at any time. Until then, staff can check their children in and out.
I generated invoices by mistake.
Open the invoices on the Billing page and check them before telling parents. If anything looks wrong, contact support before generating again, so we can help you correct it.
Can I delete a family?
Yes, from the Families page. Consider marking children inactive instead if you need to keep their invoice and attendance history.
How do I contact support?
Use the contact address shown in the app once operator details are published. Support channels are being finalised during early access.
